Most of us have written at least one business email in the course of our lives. Regardless of who we are or what station we enjoy in life, the fact is that the email has become one of the standard modes of communication available to us. The email has become so ubiquitous that we have even come to take it for granted.

But if you are in business for yourself or for someone else, sending and receiving business emails are probably part of your daily routine at work. Though it is a daily chore, you can actually make your business emails one of your more powerful tools in creating sales. You would send emails to your clients, suppliers and business partners anyway so you might as well make your emails convert sales for you and your company.

Business Email Signature Basics

Your business email signature is one of the features of your email that you can get to work for you. Not only is this where you get to sign your name as the sender of the email, as you would typically sign a note, a letter or snail mail, but this is also where you can tell your recipient a little about your business. This is a way of subtly marketing your business to your email’s recipient.

Ideally, your business email signature should provide its receiver not just your name but also your position in your company. It should also tell the recipient your company’s name and address (but not its street address), as well as its email, website and contact numbers. Most importantly, you should put a short but descriptive tagline that tells your email recipient what your business is all about.

Business Email Signature Challenges

One of the challenges with business email signatures is that you need to fit all the information mentioned above in six lines or less. The reader of your email should be able to get the information in just a glance, without having to move their eyes downward to read your email signature or scroll down your email. Make your email signature longer and you run the risk of annoying your reader and rendering the information irrelevant.

Another challenge with the business email signature is putting in cute or “inspirational” quotes. Avoid these quotes as much as possible. Nobody except you would find them meaningful, and they would only add unnecessary space in your signature.

Also, as mentioned above, it is no longer necessary to add your company’s street address to your email signature. This information would be irrelevant to your reader unless you expect him or her to send you snail mail. Nonetheless, it would be easier to put your complete street address within the body of your email itself in such cases.

A good business email signature would look like this:

By contrast, an amateurish business email signature would look like this:
