Setting up Your Printer to Get the Results You Want

Not all printouts have the same specifications. There are instances when you would need to use a different kind of paper or have the printout printed with a different orientation. These are easily done by correctly setting up the specifications of the printer in order for you get the results you are looking for.

Basic Terms

Whenever you are ready to print out a document, you are taken into a window that allows you to make the necessary specifications in order to achieve the print out that you want. Here are a few of the most used specifications:

  • Properties. On the upper right hand portion of the Print Window, you will find a Properties button. Clicking this button would allow you to customize your final print output.
  • Print Quality. This would allow you to select how vibrant the images and text documents the final print out can be ranging from the lowest quality (draft) to the highest quality possible for the printer unit. This will effect your printer ink cartridge usage.
  • Paper Size. This is a drop down menu that would allow you to select the kind of paper that you would be using. By selecting this, the paper size on the word processor that you are using will automatically be updated to match the paper size that you have specified.
  • Paper Orientation. This allows you the option to select whether you would like the information to be printed on the printer paper horizontally (landscape) or vertically (portrait).
  • Color. Color would allow you to specify whether you would like to print the document monochromatically (using black ink only) or in full color (using black and colored ink or toner cartridge).

Default Printer Settings

In the print window option, you would find a button that states “Default Mode.” Clicking on this option would erase all your current settings that you have made. This would revert to generating printouts based on the default settings made by printer companies.

Changing Default Printer Settings

This option is extremely helpful for business establishments who would often print out documents based on a particular format. Creating your own default settings would ensure that all documents printed would be uniform. This is greatly beneficial for receipt and invoice printing.

To change the default settings:

  • Click on “Start” button
  • Select “Settings” and click on “Printers”
  • Navigate through the different tabs to create the desired settings
  • Print out a test page
  • Once you are satisfied with the settings, click on the button “Apply”

Storing Multiple Printer Settings

You can also have the option to store a variety of different settings for a particular printer. This is beneficial if your business has a number of settings needed for its print materials such as business cards, envelopes, newsletters and the like.

To store multiple printer settings:

  • Go to the Control Panel and select the icon “Printers and Faxes”
  • Click on the “Add Printer” to launch the add printer wizard
  • Select the printer unit
  • Choose “Keep existing driver”
  • Create the settings and rename the printer for you to easily find the setting
  • Uncheck the option that says “Set as Default”
  • Click on Finish
